Proposal Coordinator - Visualization

Background:

The incumbent will be responsible for undertaking research, and preparing RFPs, Reports and related manuscripts with graphic organizers, infographics, illustrations, and presentations for submission to institutional clients such as the UNDP, World Bank, Asian Development Bank (ADB), Government agencies, and international NGOs. They will be supporting the organization in creation of brochures, concept notes, and or content for Cynosure’s social media presence in coordination with the various teams working at Cynosure.

This is a highly networked role that requires a forensic attention to detail, the ability to work under pressure and demanding deadlines. The Project Coordinator - Visualization plays a leading role in ensuring the effective co-ordination and timely completion of tender documents and reporting deliverables.

Job Responsibilities (include but are not limited to):

  • Undertaking necessary research for development of reports, presentations, etc.;
  • Assisting in development of data collection tools;
  • Assisting in analysis of information gathered from primary or secondary sources i.e. make tabular formats, fact sheets, graphic organizers, infographics, illustrations, presentations and reports on research results in order to summarize them;
  • Produce visuals in MS Office based on analyzed data provided by experts;
  • Refine draft presentations made in MS Power Point;
  • Maintain and contribute to company’s branding strategy, e.g. development of logos, letterheads, etc.
  • Identifying key experts using different tools such as internal experts database and recruitment platforms;
  • Assisting in the recruitment of key experts by effectively coordinating and communicating with them via email and phone;
  • Reviewing, editing, and uniformly formatting resumes and CVs obtained from experts in alignment with Cynosure and/or Client templates;
  • Obtaining management approvals by reviewing, revising and editing draft proposals in accordance with feedback from Proposal Developer;
  • Coordinating and communicating with partner firms to ensure timely submission of required documentation and information;
  • Ensuring final submission is compliant with donor/client regulations and instructions in the solicitation;
  • Creating brochures, concept notes, and or content for social media posts
  • Maintaining and regularly updating a filing system for all assignment activities, reports, and analysis.
  • Managing the company’s social media websites, e.g. LinkedIn and Facebook pages.

Key Requirements:

  • An individual with a Bachelor/Master degree in Social Sciences, Business, or related field; candidates with degrees from international institutions are highly preferred;
  • 0 - 1 year of experience, preferably in an organization working in the international development sector, such as an NGO, consultancy firm, etc. Fresh graduates are encouraged to apply;
  • Excellent knowledge of MS Office (Word, Excel, and Power Point) and Photo editing and creation tools (Canva, Adobe photoshop, Illustrator etc.);
  • Ability to summarize complex documents, and identify client compliance requirements in tender and related documents;
  • Ability and willingness to work overtime when deadlines approach;
  • Demonstrating excellent time management / prioritization skills;
  • Comfortable with continuous quality management, process improvement, coordination, and strategic planning mechanisms;
  • Self starter and ambitious personality who enjoys working in a fast-paced team environment, with proven ability to prioritize multiple tasks and work efficiently and independently, and within strict deadline oriented environment; and
  • Disposition to work in small and dynamic teams.
