The Administrative Assistant contributes to the calling of Medical Teams International by providing administrative support to the Vice President and four leads within the Marketing and Development (MaD) Department, which is responsible for engaging with private supporters to fund the work of Medical Teams International and for building a strong global brand that represents the organizations work. The Administrative Assistant also supports the administrative needs on the MaD team such as team meetings, events, and internal processes.

Parallel to technical competence, recruitment & selection, hiring decisions will give due emphasis to assessing candidates eligibility thorough background checks, police clearance, and professional reference check processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Support Vice President of Marketing and Development (25%)

  • Support Vice President with calendar management, expense reports, travel arrangements, and donor communications.

Support Marketing and Development Department (25%)

  • Coordinate execution of management processes such as performance reviews, annual objectives, and monthly business reviews.
  • Improve knowledge management by organizing information and work processes in Microsoft Teams and other digital systems.
  • Support larger department meetings through agenda creation, taking minutes, action item tracking, etc.
  • Organize and support department-wide activities such as offsites, retreats, team meetings and celebrations.
  • Project manage key initiatives affecting the entire department, such as fiscal year planning.
  • Serve as MaDs focal point and subject matter expert for procurement, contracts and expense processing.
  • Provide surge support for donor acquisition, gift processing and donor events.
  • Support Marketing and Development teams as needed per direction of the MaD Leads.

Support Marketing and Development Leads (50%)

  • Support directors with calendar management, expense reports, and travel arrangements.
  • Maintain information in the Customer Relationship Management system as needed, including donor activities, mailing lists and connections.
  • Assist in mailings, including producing mailing labels and mailing letters and documents.

Other Duties:

  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies.
  • Utilize volunteers when appropriate.
  • Additional duties as assigned.

Qualifications

EDUCATION, LICENSES, & CERTIFICATIONS

Required:

  • Associate degree or equivalent experience

Preferred:

  • Bachelor's degree or equivalent experience

EXPERIENCE

Preferred:

  • Minimum 2 years of working in a fast-paced office environment.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge:

  • Commitment to Medical Teams International Calling Statement and Core Values.
  • Knowledgeable about administrative processes including information management, communication, and following standard organizational processes.

Skills:

  • Attention to detail, reliability, and accuracy in work.
  • Moderately skilled with Microsoft Outlook, Word, PowerPoint, and Excel.
  • Excellent collaboration and communication skills; strong interpersonal relationship skills.
  • Strong written and verbal communication skills.

Abilities:

  • Ability to quickly learn and use new technologies (e.g. Microsoft Teams).
  • Ability to manage work to a high level of excellence.
