The Gift Processing Coordinator contributes to Medical Teams Internationals calling by maintaining positive interaction with donors, protecting donor confidentiality, and ensuring the integrity of the organizations private fundraising records. The Gift Processing Coordinator is responsible for donation processing, donor acknowledgements, and maintaining accurate and complete information in the Microsoft Dynamics CRM database system.

Parallel to technical competence, recruitment & selection, hiring decisions will give due emphasis to assessing candidates eligibility thorough background checks, police clearance, and professional reference check processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential Duties:

  • Oversee and ensure the security of donations for Medical Teams, via multiple channels:
  • Collect daily gift files from US Bank Lockbox and prepare for gift entry.
  • Receive and research bank transfer donations to determine donor info and enter into CRM.
  • Retrieve automated credit card gifts information and process manual credit card gifts to prepare for import into CRM.
  • Manage the recurring gift process ensuring all additions, updates and terminations of credit card and ACH info are complete. Validate charges processed and troubleshoot any issues.
  • Accurately value gifts of securities for donor gift and tax purposes, as well as organization records, and record in CRM.
  • Complete and verify matching gift requests.
  • Responsible for the data integrity of all contact and financial data in the CRM.
  • In collaboration with internal stakeholders, ensure all non-donation monies received are identified and recorded appropriately.
  • Train other employees on gift processing functions to serve as back-up during busy seasons. Delegate and schedule coverage of gift processing functions.
  • Coordinate the daily entering of all donations, including review of campaign codes, designations, proposals, and pledges of gifts entered for accuracy.
  • Support daily gift acknowledgement/receipting for donations.
  • Process all pledges and pledge-related information to ensure compliance with gift acceptance policy and annual audit.
  • Coordinate with event staff to lead Gift Processing team responsibilities in recording event purchases and donations.
  • Collaborate with US Programs to ensure accuracy of their clinics and pledges in CRM.
  • Liaise with US Programs, MaD and Finance to troubleshoot any problems around recording and auditing revenue.
  • Serve as the liaison and subject matter expert on MaD Revenue and USP accounts receivable for Finance.
  • Review, research and analyze data problems through monthly reconciliation processes and make adjustments as appropriate.
  • Collaborate with Finance to confirm accuracy of information transfer to Unit4 and troubleshoot any discrepancies.
  • Compile information needed by Finance for the annual audit.
  • Respond to donor and staff inquiries and questions, exhibiting excellent customer service.
  • Maintain Gift Processing documentation.
  • Review and suggest changes to data entry procedures to minimize data reporting errors.

Other Duties:

  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies. Incumbents will remain alert and responsive to any child and adult safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child and adult safeguarding policy and procedures, and conduct yourself in a manner consistent with the Safeguarding code of conduct and behavior expectations.
  • Utilize volunteers when appropriate.
  • Additional duties as assigned.

Qualifications

EDUCATION, LICENSES, & CERTIFICATIONS
Required:

  • Bachelors Degree or equivalent work experience in related field
  • Valid Driver License

Preferred:

  • Accounting coursework.

EXPERIENCE

Required Experience:

  • Minimum 2 years experience doing complex data entry using a database system such as Microsoft Dynamics CRM, Raisers Edge or Salesforce.

Preferred Experience:

  • Non-profit experience.
